Robert Half Facilities Coordinator in Boston, Massachusetts

Description

We are looking for a dedicated Facilities Coordinator to be based in Allston, MA. You will be responsible for providing comprehensive administrative services and customer service to our clients. This role requires a strong understanding of internal and client procedures, processes, and systems to ensure high-quality service delivery. The position is on a contract basis.

Responsibilities:

• Build and review management reports such as profit and loss, work in progress, debt, open purchase orders, and invoice pools.

• Coordinate the billing application, margin calculations, invoicing, and client submission.

• Raise purchase orders for vendor submissions and coordinate the same.

• Support management's efforts to implement cost-saving opportunities.

• Compile data for the monthly Contract Review to ensure compliance with regulatory standards.

• Generate work orders and assign them to multiple technicians, subcontractors, and vendors.

• Communicate work orders to technicians and assist management in resolving problems.

• Maintain outstanding client and vendor relationships, ensuring success in improved buying and use of preferred suppliers.

• Handle debt and revenue management to ensure performance within contractual terms.

• Support the coordination of sub-contractor files and statutory compliance.

Requirements • Demonstrated experience in customer service and handling customer queries

• Strong ability to handle and resolve complaints in a professional manner

• Excellent phone presence and communication skills

• Proficiency in managing and scheduling appointments

• Knowledge of office procedures and compliance with company standards

• Experience in handling invoices and billing procedures

• Ability to maintain and manage materials effectively

• Understanding of quality control procedures and ability to review work for quality assurance

• Proficiency in reporting and ability to perform ad hoc financial tasks

• Understanding of purchase orders and buying processes

• Strong ability to liaise with vendors and suppliers

• Experience in handling workstation support tasks

• Familiarity with planning and coordination tasks

• Proven record in ensuring compliance with company standards and regulations

• Ability to conduct and interpret financial notes and progress reports

• Knowledge of handling correspondence professionally and promptly

• Ability to resolve issues and ensure smooth operations

• Experience with materials handling and conductivity tasks
